Group Tour Management

Our group tour management module is built to eliminate repetitive data entry and streamline every operational workflow. Nearly all tasks can be executed as bulk operations, thereby allowing agencies to manage large groups with speed, accuracy, and minimal manual intervention.

Management Types

Different approaches to group tour management require different financial and document‑handling workflows. The system supports three distinct management types:

• Agency-Operated, Agency-Managed: The agency operates the tour and manages payment collection and receipting from tour members.
• Client-Operated, Agency-Managed: The client operates the tour, and the agency manages payment collection and receipting from tour members.
• Client-Operated, Client-Managed: The client operates the tour and manages payment collection and receipting from tour members.

Fully Automated Tasks

The module is designed so that almost every workflow can be performed in bulk. This dramatically reduces repetitive work and ensures consistent, error‑free processing with minimal manual intervention.

• Excel Upload: Import tour member data using a structured Excel template.
• Itinerary Creation: A standardised base itinerary can be generated and assigned to tour members, with the ability to customise itineraries for selected tour members as required.
• Automated Pricing: Pricing is calculated automatically for each tour member based on their assigned itinerary. Variations to pricing can be made for selected tour members as required.
• Bulk Document Creation: Generate quotes, itineraries, payment schedules and client statements for multiple tour members simultaneously.
• Bulk Document Issue and Email: Issue and email documents for multiple tour members in a single operation.
• Other Automated Processes: tour member receipting, client invoicing and receipting, and supplier payments.

Document Status Tracking

Managing group tours means having to deal with large numbers of documents. Colour-coded status indicators make it easy to track the status of documents issued to tour members at a glance.
